Project / PMO Administrator

Permanent Full-Time Position

We currently have an entry-level position for a Project Administrator to join within our Program Management team. The incumbent will be required to support the Program Management Office (PMO) and to provide some project administration support on individual Projects.

POSITION PROFILE

  • Assisting the PMO with day to day activities including, but not limited to, timely collection / compilation of PM inputs for Internal Project Review records, Management Reserves, and other records that may be needed from
    time to time;
  • Keeping track of Cash Receipts and updating the Cash Forecasts records
    on projects;
  • Assisting the PMO with the compilation of EAC records and obtaining signatures for timely submission to Finance;
  • Overseeing the President Report updates and ensuring timely distribution
    each week;
  • Supporting the PMO in enhancing and standardizing project management processes and forms to facilitate the PM staff with management and execution of their work;
  • Maintaining and issuing the monthly PM generated Order records to Finance;
  • Maintaining PMO records and / or binders as needed.
  • Supporting new project start-ups in the ERP system;
  • Maintaining Project records in SharePoint;
  • Preparing Internal Progress Review (IPR) slides for assigned project(s);
  • Generating Invoices, Packing Notes, Procurement Requisitions and other forms in support of project execution;
  • Preparing Expenditure Profiles for the PM;
  • Processing EAC Change Orders in the ERP system for the PM.


REQUIREMENTS

  • University degree in Business Administration or similar;
  • Strong written and oral communication skills in English and French;
  • Strong organizational skills and attention to detail;
  • Willing and able to learn quickly with a drive to grow in a PM environment;
  • Able to multi-task, take initiative and self-motivate.
